Harmonize Alerts

The Alerts feature lets you proactively monitor your most important payment performance metrics. By setting custom thresholds, you'll receive email notifications when key KPIs move outside of your defined ranges β€” so your team can investigate and act before small issues become bigger ones.

Alerts are organized by dashboard area (Authorizations, Chargebacks, eChecks, Processing Costs, Refunds, Rejects, and Sales) and are configured at the MID Level (OP Reporting MID Name).

Accessing Alerts

Navigate to the Alerts icon (πŸ””) in the left-hand navigation menu.

From there, you'll see your alert configuration page with selectors at the top and a tabbed list of KPIs below.

Selecting Your Scope

Before configuring alerts, set the scope of what you'd like to monitor using the three selectors at the top of the page:

Field

Description

OP Reporting MID Name

The merchant account you want to configure alerts for. Each MID has its own independent alert configuration.

Parent Division

The division within the selected MID.

User

The user who will receive the alert emails.

Alerts are configured per MID and per user β€” meaning each combination can have its own thresholds and recipients.

KPI Tabs

Alerts are grouped by dashboard area. Click any tab to view the available KPIs in that category:

  • Authorizations β€” approval rates, decline units, verification metrics, month-over-month comparisons

  • Chargebacks β€” chargeback rates and volumes

  • eChecks β€” eCheck return and approval metrics

  • Processing Costs β€” fee and cost thresholds

  • Refunds β€” refund volume and rate metrics

  • Rejects β€” reject thresholds

  • Sales β€” sales volume and amount metrics

Understanding the Alert Table

Each KPI row displays the following columns:

Column

Description

KPI

The metric being monitored (e.g., "Authorization Approval Rates decreased below").

Time period

The window over which the KPI is evaluated β€” Daily, Current Month, or Monthly.

Threshold

The value that triggers an alert when crossed.

Early warning

A secondary threshold that triggers a heads-up notification before the main threshold is breached.

Send alerts

Toggle (On/Off) controlling whether the alert is active.

Last modified

Date and user who last edited the alert.

Editing an Alert

To configure or adjust an alert:

  1. Click anywhere on the KPI row you'd like to edit. The Edit Alert panel will open.

  2. Update the following fields as needed:

Field

What it controls

Threshold

The primary value that, when crossed, triggers an alert email.

Early warning threshold

A buffer value that triggers an early notification before the main threshold is reached. Useful for catching trends before they become problems.

Send Alerts

Toggle On to activate the alert, Off to pause it.

Send alerts to

The email address(es) that will receive the alert notification.

  1. If you'd like to revert a threshold to the recommended default, click Reset to default beneath the field.

  2. Click SAVE CHANGES to apply your updates, or EXIT to discard.

Defaults are based on OP's recommended benchmarks but should be tuned to your business's normal operating ranges.

Setting Effective Thresholds

The best thresholds reflect your business's actual performance baseline β€” not generic industry averages. Here's how to set them with confidence:

Tip: If you have a large number of MIDs, we recommend locating your MID in the Authorizations, Sales, or Fees dashboards first. Apply the Parent Division and OP Reporting MID Name filters at the page level using the MID tab to narrow down your data and review historical trends. This will help you set thresholds grounded in your actual performance.

A good practice for new alerts:

  • Review 3–6 months of historical data for the KPI in question.

  • Identify your typical operating range and any seasonal variation.

  • Set the threshold at a level that represents a meaningful deviation (something worth investigating).

  • Set the early warning slightly inside that range so you're notified before performance degrades further.

Quick Reference

  • Alerts are per MID and per user β€” configure them for each combination you want to monitor.

  • Use Early warning thresholds as a buffer to catch trends early.

  • Toggle alerts Off if you want to pause monitoring temporarily.

  • Always validate thresholds against historical data in the corresponding dashboard.
