File Tracker Dashboard

The File Tracker Dashboard is an operational monitoring tool that gives you real-time visibility into the status and volume of data files received from each acquirer. It helps payments operations and data teams confirm that files are arriving on schedule, being imported correctly, and carrying the expected transaction volume — across Sales, Authorizations, Fees, and Disputes data.

This dashboard is split into two tabs: File Monitor for raw file ingestion tracking, and File Metrics for a volume-based view of what's inside those files.

Default view displays settled data only. Use the Funding Method filter to access conveyed data.

File Monitor Tab

The File Monitor tab tracks the arrival and import of raw data files by acquirer, giving you a day-by-day view of file counts and the underlying file-level detail.

Files by Acquirer (Stacked Bar Chart)

  • Y-Axis: Number of files received

  • X-Axis: File Header Date

  • Segments: One color per acquirer

Use this chart to spot days where an acquirer's file count drops unexpectedly or disappears entirely — this is usually the first signal of a delayed or missing file.

The chart defaults to Daily granularity over the last 2 weeks, making it easy to identify gaps in the most recent processing cycle.

File Detail Table

Below the chart, the detail table shows one row per file received, with the following columns:

Column

Description

Acquirer

The acquirer or processor that submitted the file.

File Name

The name of the file as received by the system.

File Header Date

The date embedded in the file header — represents the business date the data covers.

Import Date

The date the file was actually ingested and processed by the system.

KPI Date

The date used for KPI attribution in downstream dashboards.

Data Source

The type of data in the file, e.g., Sales, Authorizations, Fees, Disputes.

Funding Method

Indicates whether the data is Settled or Conveyed.

KPI Count

Number of records used for KPI attribution.

File Record Count

Total number of records contained in the file.

KPI Currency

The currency the KPI Amount on that row is expressed in. Check it before comparing amounts between rows — files from different acquirers or regions can report in different currencies.

KPI Amount

Total value of the records used for KPI attribution, in the KPI Currency. Read it alongside KPI Count when a file arrives but downstream figures look light — the two together show how much of the file actually reached your KPIs.

Reporting Currency

The currency used for reporting amounts.

Reporting Amount

Total dollar value of transactions in the file, in the Reporting Currency.

Use the Data Source dropdown above the table to filter the file list to a specific data type (e.g., Sales only) and reduce noise when investigating a specific feed.

File Metrics Tab

The File Metrics tab shows transaction counts by acquirer over time for each major data type — giving you a volume-level view of what was processed inside the files. Each chart has its own Measure and Date Granularity controls.

Available Measure options: Count, Amount, % of Total Count, % of Total Amount, Distinct Count of Files

Distinct Count of Files counts unique files rather than the records inside them — use it when one file produces many records and you want to know how many files landed, not how much data they carried.

Default view displays settled data only. Use the Funding Method filter to access conveyed data.

Authorization Count by Acquirer

  • Y-Axis: Authorization transaction count

  • X-Axis: KPI Date (configurable granularity)

Monitor authorization volume trends across processors. A sudden drop for a specific acquirer may indicate a file delivery issue or upstream authorization system problem.

Sales Count by Acquirer

  • Y-Axis: Sales transaction count

  • X-Axis: KPI Date (configurable granularity)

Compare day-over-day sales volumes by acquirer. Consistent growth indicates healthy file delivery; flat or missing bars signal a potential gap in file receipt or processing.

Fees Count by Acquirer

  • Y-Axis: Fee record count

  • X-Axis: KPI Date (configurable granularity)

Track fee file completeness by acquirer. Fees files often arrive on a different cadence than Sales — use this chart to confirm fee data is landing within your expected SLA window.

Disputes Count by Acquirer

  • Y-Axis: Dispute record count

  • X-Axis: KPI Date (configurable granularity)

Disputes files can be sporadic by nature — use this chart to confirm dispute data is being received regularly and to identify any acquirers whose dispute files have gone silent.

All four charts share the same KPI Date and Acquirer filters set at the top of the tab, so adjusting those controls applies across the entire File Metrics view simultaneously.

Filtering Tips

File Monitor Tab:

  • File Header Date: Set the date window to focus on a specific processing cycle

  • Acquirer: Filter to one or more specific acquirers to investigate a particular feed

  • Data Source: Use the dropdown above the detail table to isolate a specific file type (Sales, Authorizations, Fees, or Disputes)

  • Date Granularity: Switch from Daily to Weekly or Monthly for broader trend views

File Metrics Tab:

  • KPI Date: Controls the date range for all four volume charts

  • Acquirer: Scopes all charts to specific processors simultaneously

  • Funding Method: Switch between Settled (default) and Conveyed data

  • Measure: Swap between Count, Amount, % of Total Count, % of Total Amount, and Distinct Count of Files on any individual chart

Use Case Example:

"Our downstream Sales dashboard is showing a gap in data for a specific acquirer on March 14th — we need to find out if the file arrived."

  • Go to the File Monitor tab and set File Header Date to include March 14th

  • Filter by the relevant Acquirer to isolate their file rows

  • Check the Files by Acquirer chart — a missing bar on that date confirms no file was received

  • Scan the File Detail Table to see if a file exists with a different Header Date or Import Date (indicating a late delivery)

  • Switch to the File Metrics tab and check Sales Count by Acquirer for that date to confirm whether any transactions were attributed from that acquirer
